Our client, a financial structure located in Luxembourg city center, is looking for a Corporate Assistant / Office Manager. The human-sized team wants a dynamic person to ensure office management tasks, and assist them on their daily duties, related to corporate, finance, KYC and more.

Your tasks include, but isn't be limited to :

  • In charge of the office management.
  • Assist the accounting team on cash management (collect and scan invoices…).
  • Coordinating and liaising with the team, external parties, notaries for the execution and delivery of legal documents (e.g., extracts of trade registry or BO registry), legalisation of documents, keeping corporate documents and records (e.g., signatory lists, trade register etc.) up to date.
  • Gathering and comprehensive presentation of documents to respond external and internal documentary requests (e.g. KYC requests and others).
  • Organise the board meetings' schedule.
  • Draft board meetings' minutes.
  • Draft deed of incorporation / deed of liquidation / AGMs…
  • Manage and proceed any required filing with the Luxembourg Trade and Companies Register.
  • Assist the preparation of intercompany transaction documentation and follow-up of execution of those with relevant parties.
  • Manage and maintain corporate document filings of original documentation both in hard copies and electronically.
  • Manage and produce documents with the assistance of Contract Express.
  • Any other duty necessary in connection with the foregoing items.

The ideal profile have/be :

  • A first relevant experience as Office Manager/ Corporate Assistant in a bank or financial company.
  • Perfectly fluent in English (work language).
  • Highly proficient with Microsoft Suite.
  • Your proactivity, motivation and resourcefulness will be your greatest assets.

Further information :

  • Type of contract : first contract via interim with a possibility of a permanent contract at the end.
  • Salary : based on the profile.
  • Meal voucher for €13, with an employee contribution of €2.80
  • 26 days of holiday per year.
