We're looking for an Administrative Assistant in order to join our team, in an European Institution in Luxembourg.
Your tasks:
- Timesheet management
- Time entry in the timekeeping management tool
- Management of internal and customer meeting schedules.
- Management of vacations and team attendance
- Scheduling of training courses with the various people involved in the contract (around 100 people), and follow-up with the companies through which the consultants work.
- Follow-up on replacements, prepare meetings, collect CVs, keep job descriptions up to date.
- Management of on-call schedules and team contact points
- Management of team organization chart
Required Skills:
- Excellent verbal and written communication: ability to communicate clearly, accurately, and professionally in all contract-related matters.
- Strong interpersonal skills: capacity to build and maintain positive working relationships with internal teams, clients, and external stakeholders.
- Attention to detail: ability to monitor contract performance with precision, ensuring adherence to requirements and high-quality standards.
- Problem-solving skills: proficiency in identifying potential issues and providing timely, effective solutions.
Your profile:
- Bachelor degree in administration, or related field.
- Fluent in English & French.
- Around 6 years of experience in a similar role.
