As an Executive Assistant for our 3 directors, your main responsibility is to support them closely in their everyday duties.
Here is a lost of your day-to-day tasks:
- Performing daily support to our 3 directors, the secretariat and the various departments;
- Preparing and formatting information for internal and external distribution;
- Screen phone calls, open and sort mail, and summarize reports and memos;
- Screen incoming correspondence;
- Review of the travel arrangements organization for the members of the Management and the internal and external guests;
- Meetings and appointments arrangement and providing reminders;
- Developing and carrying out an efficient documentation and filing system;
- Check Invoices IVA;
- Filing of official incoming mail;
- Preparing for meetings: gather documents needed, request KFIs and organizational charts if needed;
- Format letters for the management; send these out per e-mail and via postal mail;
- Business travels inside Luxembourg;
- Order office supplies;
- Organize gift cards & farewell drink for people who retire;
- Organize drinks and food for Kronospan events;
- Organize translation/official translation, apostille and documents from the Notary office;
- Travel organization / management;
- Reports, E-Mails etc;
- Car rental management;
- Any other adhoc administrative tasks.
Here is an overview of the skills required to be our future Executive Assistant:
- Be fluent in French, German and English;
- Willingness to travel from time to time and to work flexible hours and days;
- You work confidently with the current MS office package;
- You are highly reliable, sociable and know how to work with complex situations;
- You are highly resistant to stress situations and are looking always for solutions.
