The University of Luxembourg Competence Centre (ULCC) supports the University's mission in academic continuing education, staff development and training for Luxembourg, with strong expertise in digital learning.
Reporting to the future Head of ULCC, the Study Programme Administrator will ensure the smooth delivery of study programmes by providing administrative, organizational and coordination support. Working with Programme Directors, Study Programme Administrators and central services, the role contributes to planning, execution and follow‑up of programme activities.
Your role
- Collaborating closely with Programme Directors on teaching modules, exam organization and programme planning
- Providing day‑to‑day administrative support for study programmes, e.g. planning, scheduling, system updates, events, ensuring smooth coordination with the various units involved
- Managing course and student data, e.g. courses, grades, ECTS, internships, study progress, with accuracy and anticipation
- Supporting the organization of exams such as rooms, documents, procedures, follow‑up
- Advising students and teachers on administrative and organizational matters such as admissions, applications, exams, graduation, internships
- Acting as a first contact point for students, including those with specific needs, and referring cases when required
- Collaborating and coordinating with internal and external partners for legal internships, mobility (IRO) and programme activities (external partners)
- Updating university platforms, e.g. Moodle, ACME, and supporting/attending promotional events such as open days, fairs, workshops
- Ensuring compliance with procedures and quality standards, e.g., correct constitution of exam committees, and contributing to reporting. Participating in the invoice validation process through verification of mission details, in alignment with institutional workflows
- Identifying opportunities for process improvement by proactively spotting needs and facilitating collaboration across departments
- Performing general secretarial tasks and providing ad hoc support to colleagues
Your profile
- University degree - Bac +2/3
- At least 3 years of administrative or coordination experience
- Strong organizational skills, accuracy and attention to detail
- Ability to manage multiple tasks independently
- Confident MS Office user: familiarity with digital platforms like Moodle is a plus
- Excellent communication and interpersonal skills; diplomatic and service‑oriented
- Team‑minded, reliable, proactive and flexible
- Fluency in English and good command of French is required; German is an asset
