Senior Legal & Administration Associate – Family Office (Luxembourg)

About the Structure

You will join the family office of a leading international group, managing and structuring assets across Europe and the United States.

Based in Luxembourg, the office oversees a diversified portfolio of real estate and corporate holdings and supports the group’s legal, financial, and administrative strategy.

The team is small, highly selective, and works on complex, high-impact matters, where excellence, rigor, and confidentiality are essential.

The Role

As Senior Legal & Administration Associate, you will play a key role in the day-to-day operations of the family office, covering legal, compliance, and financial reporting aspects.

You will be responsible for maintaining the legal integrity of group entities, ensuring smooth administrative processes, and contributing to high-level financial reporting.

Key Responsibilities

1. Legal (≈50%)

  • Ensure proper uploading, archiving, and safekeeping of all legal documentation for group entities;
  • Prepare and review contracts based on existing templates;
  • Maintain databases and monitor ongoing litigation;
  • Conduct legal research on various corporate, tax, and litigation matters;
  • Track external legal budgets and advisory services.

2. Administrative (≈25%)

  • Handle general administrative support (correspondence, filings, document management);
  • Prepare responses to compliance requests (KYC updates, sanctions screening, onboarding of new service providers and tenants);
  • Maintain internal procedures and documentation standards.

3. Financial (≈25%)

  • Prepare monthly and annual financial review files for statutory auditors;
  • Assist in preparing financial reports and KPIs for management;
  • Support the preparation of VAT returns (monthly, quarterly, annual);
  • Participate in process optimization and financial reporting improvements.

Profile Sought

Education

  • Minimum Bachelor’s degree; Master’s degree preferred in Law, Finance, Economics, or Business Administration.
  • Dual competence in legal and financial matters is highly valued.

Experience

  • 4–8 years of experience in a demanding and structured environment such as:
  • Fiduciary / PSF / Corporate Services provider;
  • Big Four firm (Audit / Advisory / Real Estate / Transaction Services);
  • Family Office or investment holding company.
  • Proven experience in KYC, compliance, and corporate structuring.
  • Exposure to cross-border entities and multi-jurisdictional operations.

Languages

  • Fluent English and French (written and spoken).
  • Any additional European language is an asset.

Soft Skills

  • Highly organized, precise, and analytical.
  • Strong sense of confidentiality and reliability.
  • Excellent time management and ability to handle a high workload.
  • Business-minded with a clear understanding of both legal and financial aspects.
  • Comfortable in a highly international and demanding environment.

  • Contract: Permanent (CDI) – 40 hours/week
  • Location: Windhof, Luxembourg
