Our client, a European institution, is looking for an Operational Assistant who speaks English and French fluently. This is a temporary contract.

Main responsibilities:

  • Creating receipts each month & filing corresponding documents
  • Supporting with contract amendments, controlling of purchase orders and requisitions
  • Monitoring payments and invoices, adapting created receipts with invoice value
  • Filing Electronic and paper documents
  • Ensuring the provision of office equipment and stationary supplies
  • Coordinating the administration of the team members On-Call Service
  • Managing procurement tasks
  • Supporting creation and maintaining information and data for CPS reporting activities
  • Taking minutes during meetings
  • Managing agendas, meetings and division communications and general coordination.

Qualifications:

  • A Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
  • At least 5 years of experience in an administrative support role, including at least 3 years in an operational assistant position

Professional skills:

  • Strong organisational and administrative skills
  • Experience in working with multicultural and international teams as well as with external service providers
  • Knowledge of basic budget and receipts administration;
  • Experience in operational cooperation with IT technicians
  • Good knowledge of advanced functions in Microsoft Office
  • Working knowledge of contract management, understanding of service levels, performance monitoring and administration of documents
