Operational assistant M/F

Our client, a European institution, is looking for an Operational Assistant who speaks English and French fluently. This is a temporary contract.
Main responsibilities:
- Creating receipts each month & filing corresponding documents
- Supporting with contract amendments, controlling of purchase orders and requisitions
- Monitoring payments and invoices, adapting created receipts with invoice value
- Filing Electronic and paper documents
- Ensuring the provision of office equipment and stationary supplies
- Coordinating the administration of the team members On-Call Service
- Managing procurement tasks
- Supporting creation and maintaining information and data for CPS reporting activities
- Taking minutes during meetings
- Managing agendas, meetings and division communications and general coordination.
Qualifications:
- A Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
- At least 5 years of experience in an administrative support role, including at least 3 years in an operational assistant position
Professional skills:
- Strong organisational and administrative skills
- Experience in working with multicultural and international teams as well as with external service providers
- Knowledge of basic budget and receipts administration;
- Experience in operational cooperation with IT technicians
- Good knowledge of advanced functions in Microsoft Office
- Working knowledge of contract management, understanding of service levels, performance monitoring and administration of documents
