Description
- You will be involved in day-to-day administration tasks, including handling telephone calls and contact requests, as well as transferring requests to the right people within the company.
- It will be your responsibility to manage the premises on a day-to-day basis, looking after the preparation of fruit baskets, coffee machines, first-aid kits, reception screens and archiving assistance.
- You'll be responsible for managing deliveries, mail, stock, supplier orders and the administrative team's budget.
- You will work with the MarCom teams to manage internal events, the visitor register, external reception and catering orders.
- You will also be responsible for managing travel, hotel and car-sharing reservations.
- You will provide support to the human resources team for the integration and departure of employees, as well as for the management of building interventions and schedules.
- You will also be responsible for the administrative management of vehicle insurance, leasing and travel.
- You will monitor and manage building improvements and maintenance in conjunction with the Fonds Belval.
- You will take charge of projects to improve internal processes of varying length and size to support the various internal functions.
- As backup to the CEO's assistant, you will be required to perform certain tasks.
- You will be the main point of contact, communicating proactively and regularly with the Director in charge of Administration.
- You will play the role of "Designated Worker".
Profile
- Holder of a Bac+2/Bac+3 diploma in secretarial or administrative work or equivalent.
- With at least 10 years' professional experience in reception or administration, you have acquired the skills required for this position.
- Experience in project management, particularly involving IT, would be an asset to your application.
- You have an excellent command of the Office suite and are recognized for your organization, flexibility and autonomy.
- Your excellent interpersonal skills and your ability to exercise discretion are essential assets for this position.
- Proactive, you know how to identify problems and propose innovative solutions.
- Your ability to work as part of a team is an additional asset for this position.
- Fluency in Luxembourgish, French and English is essential, with German considered an asset.
- Holding a designated worker certificate would also be an asset to your application.
