Description
- Manage incoming and outgoing telephone calls, and oversee telephone operations.
- Open, scan, and distribute all incoming mail.
- Process and send outgoing mail, including regular, express, and courier services.
- Greet and assist visitors in a professional manner.
- Arrange taxi services when required.
- Reserve conference rooms and ensure the space is tidy after visitors leave.
- Support the organization of office meetings and luncheons.
- Address various tasks as they arise, such as telephone handling and resolving issues with office equipment (copying, scanning, faxing, binding).
- Maintain inventory and order office supplies.
- Assist the entertainment team in organizing events.
- Prepare office-related invoices for the Office Manager, ensuring all relevant supporting documents are included.
- Provide general administrative assistance to the Office Manager, including tasks like copying, scanning, and obtaining signatures.
Profile
- A-level certification or equivalent.
- Minimun experiene of 2-5 years as a receptionist or in a related non-managerial role.
- Consistently meet high attendance standards and be the first point of contact for incoming visitors, representing the company’s image.
- Strong organizational and communication abilities.
- Proficient in MS Office, including Word, PowerPoint, Excel, and Outlook.
- Skilled in using office equipment such as fax machines, scanners, photocopiers, and conference tools (video & audio equipment).
- Excellent verbal and written communication skills.
- Fluency in English is mandatory; French is a plus, with any additional language being an asset.
- Independent, conscientious, and methodical in work.
- Strong customer service orientation, with the ability to interact diplomatically with colleagues and visitors.
