As an Administrative Assistant for a large European institution, you will play a key supporting role within a dynamic investment team, ensuring smooth coordination throughout the entire investment process. You will assist investment officers, help structure key documentation, and help maintain seamless communication with internal and external stakeholders. Please note that this position is offered as a temporary, fixed‑term contract.

Your Responsibilities:

  • You assist investment officers throughout the investment process and in monitoring venture debt and other investment instruments.
  • You finalise, distribute, and file documents and reports prepared by investment officers.
  • You ensure the administrative coordination of the full investment cycle, including monitoring deadlines, organising meetings, preparing documents, and arranging appointments and business trips.
  • You support portfolio management tasks, such as maintaining updated monitoring and reporting files, preparing templates, reports, and presentations.
  • You prepare and update pipeline overviews for various country coordination meetings and meetings with VPs, and you maintain the deal priority list.
  • You manage telephone contacts with clients and third parties and maintain information flow during missions by investment officers.
  • You keep statistics and work plans up to date, ensure adherence to procedures, and input data into the loans database to support the preparation of reports and activity statistics for the countries covered by the unit.
Your Profile:
  • You have completed secondary-level education, ideally complemented by a 2‑year certification in a relevant field (e.g., secretarial studies, business administration).
  • You bring at least 3 years of relevant experience providing administrative support.
  • You possess excellent command of MS Office tools (Word, Excel, PowerPoint).
  • You have excellent written and spoken English, along with good command of French. Knowledge of additional European languages, especially German, is a strong advantage.
