Mission

For one of your clients, a financial institution located in Luxembourg city, Sofitex Talent is currently looking for an

Administrative Assistant & Office Manager (M/F)

Duties and responsibilities:

Executive Assistant Tasks

  • Coordinate and manage calendars for the management team

  • Prepare agendas, presentations, and materials for meetings

  • Take and distribute meeting minutes as needed

  • Assist with travel bookings, expense management and internal event coordination

Administrative Support

  • Assist with general administrative tasks such as filing, scanning, data entry, and document formatting

  • Greet visitors and ensure a welcoming environment

  • Support office supply inventory and ordering

  • Handle incoming/outgoing courier and postal services

Profil

  • Bachelor’s degree or equivalent

  • 3-5 years of experience as Executive Assistant, Administrative Assistant or Office Manager.

  • Fluency in English and French

  • Strong project management and organizational skills with good knowledge of business administration.

  • Manage confidential information with the utmost discretion and integrity.

  • Proficiency in Google Workspace tools and collaboration tools (Slack, etc.).

  • Analytical Thinking, Problem Solving, Organizing and Prioritizing.

  • Attention to detail, effective communication, flexibility and agility.

  • Excellent communication, interpersonal and organizational skills.

  • Preparation and presentation skills for letter, presentations and reports.

  • Ability to work in a fast-paced international environment.

This is a great opportunity to start asap on an initial 3-month contract + extensions.


Salary: Depending on experience - 50-60K + meal vouchers
