Administrative Assistant (M/F/X)
YOUR ACTIVITIES
Your main mission consists in providing support to ensure efficient office operations at HITEC Luxembourg.
• Answer phone calls, schedule meetings, welcome and support visitors
• Open and dispatch of the daily mail
• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
• Accounting of suppliers invoices
• Prepare shipments (packing lists)
• Order material (branded paper, blocs, pencils, etc.)
• Maintenance activity of our “on-line catalogue” (creation of new articles and review / modification of existing ones)
• Data entry on CRM and dispatch of newsletters
• Maintain office supplies inventory by checking stock, anticipating needed supplies, placing and expediting purchase orders
YOUR PROFILE & KNOWLEDGE
• Degree in Secretarial studies or Administration (BAC, BTS or equivalent)
• Fluent in French and English is mandatory. Any additional language is considered as an asset
• Good team spirit, service minded, administrative writing skills, customer orientation and sense of initiative
• Good command of Microsoft Office Package and IT affinity. Experience with ERP Systems (Dynamics NAV) and with CRM is considered as an asset
• Autonomy and proactive approach to daily execution of tasks, strong work ethic, organisation and reporting skills
