Under the direction of the Vice Rectorate for Academic and Student Affairs, the "Service des Études et de la Vie Étudiante" (SEVE) is seeking to appoint a Student Officer. The SEVE is central in the student administration life cycle, from student application to graduation.
Your role
The Student Officer will be responsible for administrative and organizational tasks. A responsible and professional attitude is expected at all times in this position in contact with students and various users.
Activities:
- Manage enrolments and update databases
- Process student enrolment files and check diplomas.
- Digitising files and ensuring that they are updated in the database (ACME) in accordance with SEVE policies and procedures.
- Participating in the continuous improvement of the functionality of the student database (ACME), including centralising and documenting requirements.
- Communicating and monitoring information
- Monitoring, documenting and communicating information and data relating to students.
- Dealing with queries received via various channels (reception, emails, student portal).
- Checking the information on the website
- Supporting the implementation of AI in our activity (chatbot,…)
- Providing Powerpoint presentation related to specific points
- Analysis and reporting
- Contribute to the production of ad hoc analyses and statistics.
- Administrative tasks
- Drafting minutes of meetings and monitoring financial flows.
- Managing complaints and conflicts in collaboration with stakeholders.
- Coordination and collaboration
- Ensuring that tasks are properly coordinated between the admissions team and the faculties.
- Manage the list of existing scholarships and associated applications.
- Documentation and procedures
- Updating the department's procedures and documentation (e.g. Accreditation of prior learning).
- Drafting procedures relating to the management of student files.
Your profile
- Bachelor's degree and/or first experience in a comparable role
- Very good knowledge of English and French (both spoken and written), German would be considered an advantage
- Excellent communication and client handling skills
- Advanced skills in the use of Excel, Word and PowerPoint
- Proactivity, reliability, open-mindedness and diplomacy, with the ability to work in a fast-paced international university environment
- Ability to adapt to a multicultural and multilingual environment
- Autonomy and ability to handle tasks from start to finish in cooperation with other stakeholders
