The Luxembourg Centre for Contemporary and Digital History (C²DH) at the University of Luxembourg is an interdisciplinary research centre committed to high-quality research and public dissemination in the field of contemporary history with a particular focus on digital methods and tools.
The C²DH's ambition is to venture off the beaten track and find new ways of doing, teaching and presenting contemporary history of Luxembourg and the history of Europe in the 20th and 21st centuries. It serves as a catalyst for innovative and creative scholarship and new forms of public dissemination.
Your role
The jobholder's role is to provide effective and efficient administrative support to the Luxembourg Centre for Contemporary and Digital History (C²DH) under the supervision of the Assistant to the Director.
The person will work closely with the C²DH Administrative Assistants, C²DH Communication department and the central services of the University, notably the accounting department (SFC), logistics (SLO) and external suppliers.
Key Responsibilities:
- Ensure the administrative follow‑up of the Centre's activities
- Coordinate and plan agendas, meetings and team schedules
- Provide logistical support for meetings, workshops, events, presentations and lectures
- Liaise with university administration, internal & external services
- Manage orders, monitor equipment and handle material logistics
- Organise, classify and archive books, brochures and other materials
- Draft internal notes, announcements and brief information messages when required
- Contribute to internal processes such as the internal newsletter and updates of the C²DH toolbox
- Maintain and update contact databases
- Assist with the preparation and distribution of invitations and email send‑outs
- Support alumni and fundraising‑related tasks such as platform updates, mailings, event assistance
- Contribute occasionally to basic social‑media follow‑up
Your profile
- Graduate secretary or equivalent professional experience
- 3-5 years of administrative experience, ideally in a research or academic environment
- Confident user of modern office software and content-management tools
- Ability to work efficiently in a multidisciplinary and multicultural team
- Reliable, methodical and able to meet deadlines
- Interest and/or experience in communication tasks, e.g., contact databases, email campaigns, content drafting, social media, alumni/fundraising support
- Fluency in English is required. Good command of French and/or German is an asset
