He reports to the Head of the Talent Acquisition Unit and works in close cooperation with all team members. This role requires flexibility, strong prioritisation skills and the ability to handle several tasks simultaneously while maintaining a high degree of accuracy. He delivers reliably under the pressure of deadlines.
Responsibilities
- He coordinates and autonomously executes all administrative activities related to recruitment, including (but not limited to) the preparation, publication and follow-up of vacant positions on the intranet and external website.
- He acts as the first point of contact for internal and external candidates.
- He provides information related to vacancy publications to internal and external stakeholders, including candidates, managers and HR Business Partners / HR Service Partners.
- He sets up panel interviews by coordinating interview and test logistics with recruiters and panel members.
- He coordinates with external providers the organisation of assessments.
- He manages travel expenses related to recruitment activities.
- He maintains HR system databases (e.g. SPARK, PeopleSoft), ensuring timely and accurate data input, and liaises with system support teams when required.
- He prepares internal mobility and hiring-related documentation following recruitment decisions, coordinates signatures for selected candidates and ensures proper archiving.
- He adopts a cooperative approach within the team and acts as a back-up to other administrative assistants in the unit as required.
- He holds a certified secondary-level education, complemented by a 2-year certification in a relevant field (e.g. Human Resources), or an equivalent level of experience in a relevant field.
- He has a minimum of 5 years of relevant professional experience in a secretarial or operational role, preferably within a customer-oriented service or a human resources environment.
- Knowledge of HR IT tools such as Oracle HCM, PeopleSoft or GED is an advantage.
- A good understanding of organisational operating methods and procedures is considered an asset.
- He demonstrates excellent verbal and written communication skills in English; a good command of French is preferred.
- Knowledge of other EU languages is considered an advantage.
- He has very good proficiency in standard IT and office tools, particularly Word, Excel and Outlook.
