POSTE
For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for an:
Senior Operational Assistant
Support the management of key data, documents and organisational topics under the responsibility of the Chief Financial Control Directorate.
You will report to the Head of Division located in the Coordination Division of the Chief Financial Controller Directorate.
You will work in collaboration with the coordination team, directorate assistants and managers across the Chief Financial Controller Directorate.
Accountabilities
I. Prepare the steps in the onboarding process supporting CFC staff movements and (non CRE) consultants, including completion of SPARK and MyRequest registrations (and their timely updates), intranet updates and distribution lists ensuring adherence to the Bank procedures.
II. Provide high-level administrative and operational support to the Head of the Coordination division.
III. Lead new office space related initiatives and events for the directorate, including the update of quarterly occupancy forecasting, administrative preparation of events, and change management related topics.
IV. In collaboration with the directorate assistants, support the administrative preparation and distribution of Management Committee notes, and (if needed during holiday periods) support the Senior Management team in terms of participation and preparation in high level meetings.
V. Support the preparation of procurement-related documentation in line with the Bank Procurement guidelines (i.e. contractual amendments for externals, preparation of requisitions etc.)
VI. Provide ad hoc support to the Head of Division to contribute to the smooth running of daily operations.
PROFIL
- Certified secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
- At least 5 years' experience in an equivalent role including at least 3 years in an operational assistant position
- Strong organisational and administrative skills
- Experience in working with multicultural and international teams as well as with external service providers
- Experience in operational cooperation with IT and FM technicians
- Good knowledge of advanced functions in Microsoft Office, GED, and Sharepoint,
- Fluency in English
This is an opportunity for an initial contract of 2 months, with possible extensions afterwards.
Salary ranges between 4,450EUR and 5,250EUR gross per month, depending on experience.
