POSTE
For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for a
Human resources - Operational Assistant (M/F)
The Operational Assistant reports to the Head of Division and works directly with the HR Data Protection Liaison Officer as well as with other team members of the Employee Relations Division.
- Perform and execute various tasks related to data protection activities in order to ensure compliance with the EIB Group Personal Data Protection Policy, HR data protection rules and the EUDPR. In particular:
o For the HR records of processing activities and the associated data protection documentation (i.e., data protection questionnaires, statements and assessments):
(i) Prepare the HR records of processing activities and the associated data protection documentation for updates.
(ii) Follow up on the exchanges with the respective controllers to ensure timely review.
(iii) Follow up on the subsequent exchanges with the DPO office to ensure that the DPO team comments are taken into account and reflected in the data protection documentation in the Notes system.
(iv) Keep the HR register of records of processing activities up to date.
(v) File the related documentation in the dedicated HR DPO GED Institutional Workspace.
o For the HR personal data breaches:
(i) Record new personal data breaches notified in the HR personal data breaches register in a timely manner.
(ii) Follow up on the review of the personal data breaches reports by the respective controllers and the DPO team.
(iii) Regularly update the status of each personal data breach in HR register of personal data breaches.
(iv) Send reminder, if applicable, for the related action points to the responsible controllers.
(v) File the related documentation in the dedicated HR DPO GED Institutional Workspace.
o For the HR data subject requests:
(i) Record new data subject requests in the HR data subjects register in a timely manner.
(ii) Follow up on the replies to ensure that the legal deadline of 1 month is met.
(iii) Regularly update the HR data subjects register.
(iv) File the related documentation in the dedicated HR DPO GED Institutional Workspace.
o For the HR Data protection consultations:
(i) Provide any administrative task related to these, as needed.
o For each of the aforementioned tasks, maintain proper record/documentation and data quality (e.g. preparation and filing of documents related to the HR intern
PROFIL
- Secondary level education, complemented with a 2-year certification in a relevant field (accounting, legal, business administration) or secondary level education with equally qualified experience in a relevant field.
- At least 3 years relevant experience within a HR/legal administrative function handling confidential and legal matters.
- Ability to maintain and ensure respect of confidentiality is mandatory.
- Detail oriented, strong analytical thinking and effective skills in organising, prioritising, scheduling and planning work.
- Excellent knowledge of the Bank's standard computer tools, particularly GED and MS Office tools (Word, Excel, Powerpoint).
- Excellent command of English and French. Knowledge of other European Union languages would be an advantage.
