We are seeking and dynamic and organized individual to join a growing team of HR experts. Reporting to the HR Director Europe, you will play a crucial role in maintaining day-to-day HR operations and providing exceptional support to our employees.

Our client specializes in designing and managing customized life insurance solutions for high net worth individuals and financial instituions. Our client operates globally, wth offices in several countries, and is renowned for its expertise in cross-border wealth management and international financial planning. 


YOUR MOTIVATION


In this role, you will be responsible for managing all aspects of employee information and documentation to ensure compliance with labor laws, collective agreements, and company policies. 


YOUR MISSIONS


1. Administrative Management of Employees:


  - Prepare and manage employment contracts and certificates.

  - Process HR documentation accurately and efficiently.

  - Facilitate the onboarding and offboarding processes for employees.

  - Update employee data in HR systems and ensure data accuracy.

  - Coordinate mandatory medical examinations for new hires.

  - Manage maternity and parental leave requests. 


2. HR Mailbox Management and Employee Support:


  - Monitor and manage HR mailboxes.

  - Respond to employee queries promptly and professionally, adhering to Service Excellence criteria. 


3. Personnel Records Maintenance:


  - Ensure accurate maintenance and security of both hard and digital personnel records.

  - Assist in daily administrative tasks related to background checks, including adherence to the Fit & Proper policy.


4. Contract and Invoice Management:


  - Manage contracts with service providers.

  - Process invoices accurately and in a timely manner.


5. Staff Time Management:


  - Track and manage annual leave, sickness, maternity, and parental leave using the Protime time management system.

 

6. HR Projects and Reporting:


  - Participate in various HR projects aligned with business requirements.

  - Provide ad hoc reporting and prepare presentations as needed.



YOUR PROFILE


- Bachelor's degree in Human Resources or relevant field.

- Minimum of 2-5 years of experience in Human Resources.

- Strong understanding of HR functions and best practices.

- Proactive and detail-oriented with excellent organizational and time management skills.

- Strong communication and problem-solving abilities.

- Ability to work effectively under pressure and meet deadlines.

- Fluent in both written and spoken English and French.
