Facility/office management officer
Location: Luxembourg
Your role
The Facility/Office Management Officer is responsible for ensuring the smooth, efficient, and safe operation of office facilities and administrative functions. This role oversees day-to-day operations, coordinates maintenance activities, and creates a productive work environment for all employees. You will report directly to the Facility Senior Manager.
Your responsibilities
Facility Management:
- Oversee the maintenance and repair of office buildings, equipment, and systems (HVAC, electrical, plumbing, etc.)
- Conduct regular facility inspections to identify and address maintenance needs
- Manage relationships with contractors, vendors, and service providers under the supervision of the Facility Senior Manager
- Ensure compliance with health, safety, and building regulations
- Coordinate space planning and office layout optimization
- Manage facility-related budgets and cost control measures
Office Operations:
- Supervise daily office operations and administrative staff
- Manage office supplies inventory and procurement processes
- Coordinate reception, mail, and courier services
- Oversee security systems, access controls, and emergency procedures
- Implement and maintain workplace policies and procedures
- Handle office renovations and refurbishments
Health, Safety & Compliance:
- Ensure workplace safety standards and regulatory compliance
- Maintain records for health and safety audits
Administrative Support:
- Manage parking, access badges, and building passes
- Coordinate office moves and workspace assignments
- Assist with onboarding logistics for new employees
Physical Requirements:
- Ability to conduct facility walk-throughs and inspections
- Occasional lifting of office supplies (up to 25 lbs)
- Availability for occasional after-hours or emergency calls
Your profile
Education:
- Bachelor's degree in Facility Management, or related field
Experience:
- 3-5 years of experience in facility or office management
Skills & Competencies:
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Problem-solving and decision-making capabilities
- Knowledge of health and safety regulations
- Proficiency in facility management software and MS Office Suite
- Project management skills
- Attention to detail and quality-focused mindset
- Ability to work independently and as part of a team
