Senior legal assistant (Private Equity Asset Manager)

Your Responsibilities
- Review, maintain, and archive all corporate records relating to the fund's portfolio entities, including updating statutory registers, monitoring the receipt and delivery of original documents, managing filings with Luxembourg authorities, updating corporate excerpts, and ensuring proper document retention.
- Coordinate signature collection processes and perform all necessary controls on executed documentation, including verification of signatures, legalization requirements, and related administrative follow-up.
- Organise and coordinate board and shareholders' meetings, including the preparation, execution, signature collection, and distribution of all related documentation such as convening notices, proxies, attendance lists, resolutions, and minutes.
- Liaise and coordinate with internal teams, external counsel, notaries, and other service providers to facilitate the execution, legalization, apostille, and delivery of legal and corporate documents.
- Monitor KYC requirements in collaboration with operational teams, ensuring records remain accurate, complete, and up to date.
- Perform general company secretarial and administrative duties, including document and correspondence management, mail control and distribution, filing, and record maintenance.
- Assist in the drafting and review of legal and corporate documentation, including documents relating to the approval of annual accounts, routine board minutes, and standard agreements, under the supervision of the Manager.
Your ProfileÂ
- A minimum of 5 years' successful experience in a corporate, legal, or company secretarial environment.
- Solid knowledge of company law and corporate governance matters in Luxembourg.
- Fluent in French and English, both (mandatory) written and spoken.
- Strong interest in artificial intelligence and legal technology, with a proactive approach to exploring innovative solutions that improve efficiency, knowledge management, and compliance within the legal function.
- Strong communication and organizational skills, with the ability to manage multiple priorities effectively.
- Demonstrated ability to take ownership of tasks, follow through on commitments, and deliver high-quality work.
- Detail-oriented, proactive, and committed to maintaining high standards of accuracy and reliability.
