Phoenix PSF is an independent, employee-owned company, regulated by the CSSF. We specialise in the administration of unregulated entities and regulated investment entities, family office structures, fund administration, registrar agent services and provide a range of corporate secretarial and domiciliation services. Our clients are predominantly active in the real estate and private equity sector and include structures for European and US asset managers and professionals. Purpose of Role:


Working in a team, the Fund Administrator (FA) reports directly to the Funds’ Client Relationship Manager (CRM) and supports the CRM in his role. This is an opportunity for a young professional to get acquainted with all facets of a Central Administration environment and to raise his/her knowledge in the servicing of regulated and unregulated fund vehicles.

Key Responsibilities:


Assist in the full scope of central administration services, i.e. Registrar and Transfer Agent and Communication agent functions, including the following responsibilities:


  • Assist with Transfer Agency Operations, capital calls and distribution notices;
  • Assist with the Investor Onboarding Process by preparing the AML/KYC identification files of investors and actively supporting the first line of defense for compliance;
  • Performing transaction monitoring and preparing bank instructions and managing communication regarding payments;
  • Assist with the preparation of working documents (word docs/excel spreadsheets);
  • Filing – both hard copy and electronic filing via a document management system;
  • Office management – answering the telephone, handle the daily post and preparing the Boardroom for meetings;


The ideal candidate will be:


  • Fluent in English and confident in either German or French would be an advantage.
  • Have recent experience working in a similar position or in an AML/KYC role within the fund sector or other sectors within financial services.
  • Be client focused and committed to provide quality service to clients
  • Have a good knowledge of the Luxembourg legal and regulatory environment.
  • Be proficient in Microsoft applications (Excel, Word, ...) Core Competencies, knowledge of TA processes and/or Allvue would be an advantage.
