The Vice-Rector for Research is looking for a temporary replacement to lead the Office of Doctoral Studies (Bureau des études doctorales - BED) of the University of Luxembourg between February - December 2025.
Within the Vice-Rectorate for Research, the Office of Doctoral Studies represents the administrative support structure of the University's doctoral candidates throughout their academic journey. Its main missions are to coordinate the individual paths of around 1000 doctoral candidates, from admission to graduation; to offer them transferable skills courses; to support supervisors in the administrative and regulatory aspects of PhD studies; to be the central contact point for the large community of internal and external stakeholders involved in doctoral education.
The BED Team Leader plays an essential role in ensuring that doctoral education complies with the legal and regulatory framework, in maintaining clear, appropriate and up-to-date procedures and in providing tailored advice for the wide range of stakeholders in a multilingual and diverse community.
Your role
- Ensure the PhD Lifecycle follows UL's rules and procedures in an ethical and professional manner, in close cooperation with the doctoral schools, from admission/onboarding to graduation
- Manage the entire application process for doctoral research supervision rights (ADR); plan and ensure delivery of training for new supervisors in collaboration with HR and the VRR office
- Manage, motivate and support the BED team members in daily activities and foster continuous development
- Ensure optimal administrative interaction with internal and external stakeholders of doctoral education, including the management of relations with Luxembourg research institutes, and external university partners (cotutelle management)
- Support case management and interact with various stakeholders in a solution-oriented way
- Enhance the digitalization process in doctoral education, seeking efficiency of administrative processing of the files for approximately 1000 doctoral candidates, ADR holders, 4000 thesis supervision committee (CET) members, and other stakeholders
- Provide reports, statistics, and other material as needed, and communicate regularly and efficiently with the Vice-Rector for Research and the doctoral education community
- Ensure the availability and communication of an appropriate catalog of transferable skills courses for doctoral candidates

Your profile
- Bachelor's degree or equivalent by work experience
- 6+ years of relevant working experience, preferably in academic environment, significant expertise as a professional with management experience
- Written and verbal communication skills in English and French are mandatory, German is an asset
