Collaboration is key to how we work, and we are looking for an Administration Assistant to add depth to the support that we provide to our teams, to ensure efficiencies in every area.
Key Responsibilities
Our innovative Global Support Team is a group of like-minded professionals, tasked with supporting the business with all manner of administration. As an Administrative Assistant you will be responsible for answering incoming telephone calls and arranging conferencing facilities as required, preparing documentation and typing of correspondence, ensuring that active files are kept up to date (including filing of emails and correspondence, photocopying and scanning) and closing matters when concluded.
Additional duties include:
- File opening and follow up
- Updating of system records with client, office and matter information
- Orders and filings on the Luxembourg Business Register
- Partake in process creation and improvements
- Managing client interactions
- Organising in-house and external meetings, plus travel and business development events
- Providing support and reception cover as required.
- Participating in interjurisdictional tasks, assisting wider fee earning teams and colleagues.
- You will take ownership of allocated administrative tasks and assist the fee earners and wider teams in the business.

Skills, Knowledge and Expertise
We are seeking an individual who holds previous administration experience within a legal or professional services environment, who has a tech savvy outlook and who would be happy to work in a busy environment where quality of work is key.
You will have good organisational skills with an ability to efficiently and effectively manage your workload. Strong attention to detail is essential and you will need to be proficient in Word/Outlook with a working knowledge of Excel.
The successful candidate will have a perfect command of both written and spoken English and French - any other language would be an asset.
